Workwell Collective is committed to protecting your privacy. This Privacy Policy explains what personal information we collect, how we use it, and your rights as a member.
By creating an account or using the Workwell Collective platform, you agree to the collection and use of information as described in this policy.
1. Who We Are
Workwell Collective is a private, peer support platform for professionals. We operate the website at workwellcollective.ca and the member application at app.workwellcollective.ca.

2. What Information We Collect
Information you provide directly
- Name and email address at registration
- Professional information including job title, industry, and company size
- Session context — topics, desired outcomes, and situation descriptions you provide when booking a session
- Guide profile information including bio, expertise, availability, and meeting link
- Payment information — processed and stored by Shopify, not by Workwell Collective directly
- Communications you send to us
Information collected automatically
- Log data including IP address, browser type, and pages visited
- Platform usage data such as sessions booked and features used
- Cookies and similar tracking technologies used by Shopify and the platform infrastructure
3. How We Use Your Information
We use the information we collect to:
- Create and manage your member account
- Match Seekers with appropriate Guides based on situation, environment, and style preferences
- Facilitate session booking and deliver session confirmation communications
- Send transactional emails including session confirmations, booking notifications, and account updates
- Process membership payments through Shopify
- Improve the platform, matching quality, and member experience
- Respond to member inquiries and support requests
- Enforce our Terms of Service and community guidelines
4. Session Content and Confidentiality
Session context — including the topics, situation descriptions, and outcomes you share when booking — is shared with your Guide so they can arrive prepared for your conversation. This information is not shared beyond the session participants.
Workwell Collective does not record sessions. Session conversations are private between the Seeker and the Guide. For a full statement of confidentiality expectations, see our Confidentiality Standards.
5. How We Share Your Information
Workwell Collective does not sell your personal information. We may share information in the following circumstances:
- With your Guide — your session context is shared with the Guide you book with
- With Shopify — your payment and account information is processed through Shopify in accordance with their privacy policy
- With platform infrastructure providers — including Lovable (app platform) and Supabase (database), who process data on our behalf
- As required by law — if compelled to do so by a court order, legal process, or regulatory authority
- To protect safety — if we believe disclosure is necessary to protect the rights, property, or safety of our members or others
6. Data Retention
We retain your personal information for as long as your account is active or as needed to provide the platform services. If you close your account, we will delete or anonymize your personal information within a reasonable period, except where retention is required by law.
Session context information submitted for matching purposes is retained to improve matching quality. You may request deletion of your personal information at any time by contacting hello@workwellcollective.ca.
7. Your Rights
As a Canadian resident, you have rights under the Personal Information Protection and Electronic Documents Act (PIPEDA) and applicable provincial privacy legislation, including:
- The right to access the personal information we hold about you
- The right to correct inaccurate information
- The right to withdraw consent to certain uses of your information
- The right to request deletion of your personal information
- The right to file a complaint with the Office of the Privacy Commissioner of Canada

8. Email Communications
We send transactional emails related to your account and sessions, including account confirmation, session booking confirmations, guide notifications, and session reflections. These communications are necessary to operate the platform.
In accordance with Canada's Anti-Spam Legislation (CASL), all marketing emails include an unsubscribe link. To opt out of non-transactional communications, click the unsubscribe link in any email or contact hello@workwellcollective.ca.
9. Cookies
Workwell Collective and its platform providers use cookies and similar technologies to operate the platform, remember your preferences, and analyze usage. By using the platform, you consent to the use of cookies as described in this policy.
You may configure your browser to refuse cookies, though this may affect your ability to use certain platform features.
10. Third-Party Platforms
Workwell Collective is built on and integrated with third-party platforms including Shopify (payment and website) and Lovable (application platform). Your use of these integrations is also subject to their respective privacy policies:

11. Data Security
We take reasonable technical and organizational measures to protect your personal information from unauthorized access, disclosure, or loss. However, no method of transmission or storage is completely secure. We encourage members to use strong passwords and to contact us immediately if they suspect unauthorized access to their account.
12. Children's Privacy
Workwell Collective is intended for professional use by adults aged 18 and over. We do not knowingly collect personal information from individuals under 18. If you believe a minor has provided us with personal information, please contact us at hello@workwellcollective.ca.
13. Changes to This Policy
We may update this Privacy Policy from time to time. We will notify members of material changes by email or by posting a notice on the platform. Continued use of the platform after the effective date of any changes constitutes acceptance of the updated policy.
